Who holds your data
Fashion Casting is the data controller for everything described here. We operate from the United Kingdom and work with clients and talent in 81 cities. Data questions go to info@thefashioncasting.com and are answered by a person, not a queue.
What we collect from clients
Your name and the organisation you book for, a contact number or messenger handle, an email address, and the details of the event: city, venue, dates, headcount, duties and budget. For invoicing we hold billing details and payment records.
For private Lifestyle bookings this can include the identity of a host and the nature of a private occasion. We treat that as confidential, keep it out of any published material, and never use a client's name as a reference without written permission.
What we collect from talent
Name, date of birth, nationality, contact details, portfolio images and digitals, measurements, languages, city and availability. To pay you and to move you across borders we also hold payment details and, where a booking requires it, passport or visa information.
Identity and travel documents are held only for as long as the booking and the tax record require, are never published on a board, and are never sent to a client. We do not represent anyone under 18 and do not knowingly hold data about minors.
Why, and on what basis
To perform the contract: building shortlists, confirming bookings, arranging travel, paying talent and issuing receipts. On legitimate interests: keeping a record of what was agreed, matching payments to references, and protecting talent safety. On consent: publishing a talent's portfolio on a board, and using event imagery in our own materials — consent you can withdraw at any time.
On legal obligation: financial records, tax reporting and anti-fraud checks. We do not sell data, do not rent contact lists, and do not use anyone's data for automated decision-making.
Messengers and the site
Most of our work happens on WhatsApp, Telegram and Signal, so a written record exists on both sides. Those services are operated by their own providers under their own privacy terms; we keep the conversation, not their infrastructure. Ask us and we will delete a chat history that is no longer needed for a booking or a tax record.
This site sets no advertising or analytics cookies. Board access codes are held in your browser's session storage so a board stays open while you browse, and are cleared when you close the tab or use the lock control. PayPal's checkout, which loads on the payment page, sets its own cookies under PayPal's policy.
Payments
Card and Apple Pay payments are processed by PayPal. Card numbers are entered on PayPal's own checkout and never touch this site or our systems; we receive only the confirmation, the amount and the reference. Crypto payments are received to the wallet addresses published on the payment page, and the blockchain record of a transfer is public by nature.
We keep payment records, receipts and correspondence about them for as long as tax law requires.
Portfolios and boards
Only approved talent are published, and only with their consent. Boards sit behind an access code issued per division to clients we have already spoken to. Talent still in review are never published; their profiles are sent privately to a client for a specific brief.
Talent can ask us to unpublish a profile at any time, and we do it the same day. Codes are rotated when a client relationship ends.
International transfers
We book events on six continents, so data moves outside the United Kingdom whenever a booking does — to a client, a venue, an airline or a hotel abroad. We transfer the minimum a booking needs, and we rely on the UK's adequacy regulations or on standard contractual clauses where they apply.
How long we keep it
Financial records, including invoices and payment confirmations: seven years, as tax law requires. Booking records and the correspondence behind them: six years from the event. Talent portfolios: while representation lasts, then twelve months in case you return. Identity and travel documents: deleted once the booking and its tax record are closed.
Enquiries that never became bookings: twelve months, then deleted.
Your rights
You can ask for a copy of what we hold, have it corrected, have it deleted where no legal obligation keeps it, restrict or object to how we use it, withdraw a consent you gave, and receive your data in a portable form. Talent can additionally ask to be unpublished without ending representation.
Write to info@thefashioncasting.com. We reply within 30 days, usually within three business days, and we do not charge for it.
Security and breaches
Access to talent files is limited to the bookers who need them. Documents are held in encrypted storage, boards sit behind codes, and payment credentials never enter our systems. If a breach ever put anyone at risk, we would tell the people affected and the Information Commissioner's Office within 72 hours of finding it.
